For each problem that fits a custom build: rough scope, rough cost, rough timeline. If something is better solved by a process change or a different hire, I say that instead.

I will tell you. Some problems are better solved by a process change, a different hire, or an off-the-shelf tool. If that is what your situation calls for, that is what I will recommend. The discovery call is genuinely diagnostic, not a sales meeting in disguise.
Whoever is closest to the day-to-day running of the business. Often that is the founder or managing director. For larger teams it is usually the COO or operations director. If the problem sits in one function, such as sales or support, bring the person who runs it too. Two people from your side is typical.
You can book your slot immediately: once the form is submitted you get a calendar link and pick a time that suits you. If you would rather wait, I reply personally within one working day, usually within hours. The form goes directly to Dean, with no intake team and no qualification queue.
